Ideally, what would you like clients to have thought about before arriving for a site visit?
They need to know their rough schedule. This is necessary as time frame is not always covered in the standard hire period of 08:00-17:00. Many clients like to begin a conference at 08:00 but only have access to the venue from this time. Should clients need to have access outside the standard hire period, we are happy to be flexible depending on your requirements.
We have a standard package which is included in the venue hire proposal. All documentation from the venue should be read thoroughly before clients come to a site visit. However, for large conferences additional equipment such as, microphones, traffic light systems, additional comfort monitor, LCD screens, PA system, countdown clock and uplighters outside the standard AV package may be needed which may require an additional cost. We are happy to provide a quote for any additional AV equipment needed and we will advise the client accordingly about any additional costs.
Most historic and iconic venues have an accredited supplier list and we are no different. We do offer a wide range of accredited suppliers so odds are your favourite is already there. Please go over all the information supplied by us and our website to get more information regarding these providers and we are happy to set up site visits between clients and our suppliers so they can see all the various options available to them.
Our site visits are booked in usually slots of 30 minutes to an hour maximum. Unfortunately due to our schedules and other events we may be preparing for, we will tend to adhere to these timings. Most teams at iconic venues such as ours are small and availability to view the spaces can be affected when we are busy. As such, to maximise your visit, we recommend that you take into account time needed to go through our security check to ensure you are on time for your appointment. Also, we suggest you have a list of questions ready for the venue manager to take full advantage of your time with us. Of course, once you have booked your event, we are happy to schedule in a number of site visits after a contract is signed with our AV team or our other suppliers to discuss any questions in more detail, however we ask that these visits are limited to one hour maximum on any given day. Any rehearsals or set-up time may be an additional cost and we will advise this if necessary at the time of booking.
What advice could you give to clients or agents who need to sell the venue to the final decision maker – i.e. specific state of the art conference facilities etc.?
If you are unsure of our venue hire specs or offers please just call and we can give you the correct up to date information! We now have a Sony 4K DCP projector and can do film screenings with a maximum capacity of 323 guests. There aren’t many theatres in central London with this technology or capacity that also offer the elegance of such an iconic venue. The space is adaptable and we have the capability through our preferred suppliers to arrange colour changes, additional lighting and branding of the theatre walls.
What event would you love to see take place in the Clore Centre?
Film Screenings and Premieres, Technology Expos, Fashion and Beauty Shows and Product Launches.
How have you seen the exhibition space transformed/what has been the best use of the space or a real highlight for you?
- The Film Premiere of Studio Canal’s ‘The Lost City of Z’ featuring Charlie Hunnam, Robert Pattinson and Sienna Miller where, with just some lighting and red carpet, we created an elegant and sophisticated but simple event with subtle branding and photo ops.
- The day Thomas the Tank Engine (Real Life Size) was placed in the space for the launch of a new series
- Total War Gaming Launch- 64 base units in the foyers and gamers playing the game for the initial launch.
- Ice Age 4 Continental Drift Family Screening with a pop-up shop, a Caveman Café and a guest appearance from Sid the Sloth.
- ‘Into the Woods’ Showcase which featured a forest of light and dark, with a garden fountain and a connecting tunnel of flowers and tree branches.
- Dressing Rooms for the Jonathan Saunders Fashion Show where Models had make-up and hair on one foyer, then went over to the other foyer for dressing before going upstairs to the catwalk.
- Back of House for the Spectre after party (literally it was turned into a giant kitchen and a dressing room (separate foyers of course)
What advice could you give event bookers to ensure they are getting the best rates and making the most out of their venue hire?
Ensure that you understand what is included in the hire cost for your event, and note the maximum capacities of the spaces you’ve hired and budget accordingly for additional guests when taking advantage of one of our DDRs. We are one of the few venues that are happy to work within your budget and if you need that little extra and are trying to stretch your bottom line, we can suggest ways to help you deliver a memorable experience for your guests that don’t affect your overall cost per head.
