With awards season right around the corner, we have put together a few tips on what to consider when planning your event.
First things first: work out your budget. Budget is an important part of the planning process and helps to focus your attention on only considering venues and suppliers that you know you can afford. Items to cover in your budget planning include venue, food and drink, production, guest speakers/master of ceremonies, advertising and the awards themselves.
Next, look at the venue. There are so many things to consider when picking the right venue for your event. Capacity: ensure the venue has a large enough capacity to fit your maximum number of guests. Are there any restrictions? Some venues, for example, will not allow red wine. Would this be something that determines whether you choose that venue or not? Look into the suppliers that they have; does the venue, along with their recommended suppliers’ costs, fit into your overall budget? Logistics: can you gain access to the venue with enough time to set up, and do you get exclusive access?
Once the venue is booked you can decide who you want to cater the event. Most venues have a list of caterers that they work from, so now is the time to compare the quotes and book in tastings to select your caterer. When looking for event catering in London, you can sometimes be overwhelmed by how many options there are, so it is a good idea to look at which caterer works best for your budget or has matched your chosen theme. It is always worth asking caterers to write bespoke menus if you have specific ideas of what you would like to serve your guests. Production and design: this is such an important part of your event and can really help set the tone for the evening. Building a stage set with your logos, branding and lighting with your corporate colours can really transform a venue.
